Late payments: a polite reminder sequence that gets you paid
Guides · · 3 min read · By Ananya Rao, Product, LogAI

Late payments are rarely about money. They are about attention. Your invoice is one of forty things on the customer's desk, and the ones that get paid first are the ones that are easy to pay and politely impossible to forget.
Here is a reminder sequence that works for small businesses without souring the relationship, with messages you can copy. The tone is friendly and specific all the way through; the only thing that changes is how direct it gets.
Before the invoice: agree the terms out loud
Half of late payments are born at the quote stage. Say the due date and the payment method before the work starts, write them on the invoice, and send the invoice the same day you deliver. An invoice sent a week late trains the customer that time does not matter to you either.
The sequence
| When | Channel | Message |
|---|---|---|
| Day 0, with the delivery | WhatsApp + email | Invoice attached, due date and payment link in the message |
| 3 days before due | Friendly heads-up: "due on Friday, here is the link" | |
| Due date | Short nudge, link again | |
| 3 days overdue | WhatsApp + email | Polite, direct, ask if anything is holding it up |
| 7 days overdue | Phone call | Talk to a person; agree a date |
| 14 days overdue | Formal statement of account, mention the next step |
The messages
- Day 0: "Hi Rohan, thanks for the order. Invoice INV-0148 for ₹18,400 is attached, due on 15 November. You can pay here: [link]. Shout if anything looks off."
- Three days before: "Hi Rohan, a quick heads-up that INV-0148 (₹18,400) is due this Friday. Here is the link again: [link]."
- Due date: "Hi Rohan, INV-0148 is due today. Link: [link]. Thank you!"
- Three days overdue: "Hi Rohan, I have not seen the payment for INV-0148 (₹18,400, due 15 Nov) come through yet. Is anything holding it up? Happy to help. [link]"
- Seven days overdue: call. Open with "I'm calling about INV-0148; can we agree a date this week?" and confirm the date on WhatsApp afterwards.
- Fourteen days overdue: "Please find attached the statement of account for ₹18,400 outstanding since 15 November. If we do not receive payment or hear from you by 29 November we will have to pause further orders. We would much rather sort this out, so please call me."
Make paying the easiest thing they do that day
Every message carries the link. Not the account number, not a request to "please transfer": a link that opens UPI, cards and net banking and marks the invoice paid the moment the money lands. Statements of account that list every open invoice with one link to pay them all clear the ones that were "forgotten".
Stop chasing by hand
The sequence above is the same for every invoice, which makes it the first thing worth automating. Let the software send the Day 0, three-days-before and due-date messages, and bring the overdue ones to you as a list each morning. You spend your time on the calls, which are the only step that needs a human.
In LogAI, invoices carry a Razorpay payment link, reminders go out on WhatsApp and email on the schedule you set, Books shows who owes you and for how long, and xLog can draft the awkward 14-day message for you to approve.
If you are an MSME, the law is on your side
Businesses registered under Udyam are protected by the MSMED Act: a buyer has to pay within the agreed period, which cannot be more than 45 days from acceptance, and late payments attract compound interest at three times the RBI bank rate. You can file a claim on the MSME Samadhaan portal. Mention this only when you need to, but know that you can.
What to stop doing
- Apologising for asking. You did the work; the reminder is a service to a busy customer.
- Vague messages ("just checking on that invoice"). Always say the invoice number, the amount and the due date.
- Giving up after one reminder. Most late payers pay on the second or third nudge.
- Sending ten reminders and never calling. Day seven is a phone call.
We did not get tougher. We got consistent, and the average time to get paid dropped by two weeks.
Frequently asked questions
How many payment reminders should I send?
A schedule of six touches works well: with the invoice, three days before due, on the due date, three days after, a phone call at seven days and a formal statement at fourteen. Stop apologising and stay specific: invoice number, amount, due date and a payment link every time.
Is it rude to send payment reminders on WhatsApp?
Not if they are short, polite and carry the invoice details and a payment link. WhatsApp is where most Indian small-business customers already talk to you, and a friendly reminder there gets read and acted on faster than an email.
What can an MSME do about a customer who refuses to pay?
If you are registered under Udyam, the MSMED Act limits payment terms to 45 days and adds compound interest at three times the RBI bank rate on late payments. You can file a claim on the MSME Samadhaan portal.
Can LogAI send payment reminders automatically?
Yes. Invoices carry a Razorpay payment link, reminders go out on WhatsApp and email on your schedule, and Books lists who owes you and for how long.
