Bank: balances, transfers and statement matching

Use Books → Bank to see every bank, UPI, cash and gateway account's running balance, move money between accounts, import a bank statement (CSV, Excel or pasted rows) and match each line to your payments and expenses, sync Razorpay payouts and fees, and mark an account as checked up to a date.

Books → Bank shows the money in each of your accounts and lets you check it against what your bank says. It brings together what used to be the Cash and Reconcile tabs — old links land here. Accounts come from Books settings; if you haven't added any, the tab offers Open settings.

Your accounts

A row of account chips runs across the top — one per active bank, UPI, cash and payment gateway account — each with its balance, “Checked up to {date}” or “Not checked yet”, and how many imported statement lines are still unmatched. Pick a chip to open that account.

The running list

Below the chips is the account's running list for the period you pick (This month by default): Date, What (the kind of entry, who it was with, and the document number), In, Out and the running Balance. A tick means the entry is checked against bank. Search the list, click a receipt, refund or expense to open its details, and Export entries (CSV) to download it.

With Accountant view on, journal numbers (JE-…) show alongside document numbers. The header also has Record expense and Settle up, so you can record what's missing without leaving the tab.

Move money between accounts

Deposited the day's cash, or moved money from your current account to savings? Click Transfer (it needs at least two accounts), choose From and To, enter the Amount, Date, an optional Reference / UTR and Note, and click Record transfer. Both accounts update — one Transfer out, one Transfer in.

Match your bank statement

  1. Start an import. Pick the account and click Import statement (or Match statement to open the matching panel first). A three-step sheet opens.
  2. Add the statement. Choose Upload file and drop in a CSV or Excel (.xlsx) statement up to 10 MB, or Paste rows copied straight from Excel or Google Sheets with the header row included (comma-separated text works too). Click Next: map columns.
  3. Map the columns. LogAI suggests what each column is; correct any that are wrong. Each column can be Date, Description, Amount, Credit (money in), Debit (money out), Dr / Cr indicator, Reference or Ignore — use one Amount column or a Debit/Credit pair, not both. Check the Date format (it's detected for you) and the preview of the first rows; rows that can't be read are skipped and counted. Click Import statement (or Import N rows for pasted rows).
  4. Review the result. LogAI imports the lines and runs matching straight away, then shows how many lines were Matched, Suggested and Unmatched. Click Review matches.

Review the matches

The matching panel, Match your bank statement, sits above the running list with four tabs. If you've imported more than one statement, pick which one from the Statement import menu; search by description or reference, and Export lines downloads the lines.

ExcludedLines that don't belong here, such as moves between your own accounts. Restore brings one back.

Matching only looks at records on the same account with the same amount that aren't already matched. How sure it is:

  • Matched automatically — the line's description or reference contains the payment's UTR, Razorpay ID or document number, the amount is equal and the dates are within 30 days.
  • 90% — same amount within 2 days, and the customer's or vendor's name appears in the description.
  • 70% — same amount within 5 days and it's the only such record (50% when there are several to choose from).
  • 60% — one deposit equals 2–3 receipts from the same day added together.

Confirm all ≥ 90% (N) confirms every high-confidence suggestion in one go. For a line Books knows nothing about, Create gives three choices: Payment received (opens Settle up with the amount, date and reference filled in, and matches the line once saved), Expense (pick a category and vendor, then Create expense) or Transfer (to or from another of your accounts). After recording missing payments or expenses, click Run matching again.

Mark the account as checked

  1. Open the check. In the matching panel click Mark as checked up to….
  2. Enter the statement's closing figures. Set the Statement closing date (the last statement's end date is suggested) and type the Statement closing balance.
  3. Compare. The sheet compares the balance in Books with the statement's and shows the Difference. Click Compare balances to get the Books balance on that exact date.
  4. Confirm. When the difference is zero, click Mark checked up to {date}. The chip now reads “Checked up to …”.

Checked means locked: Once an account is checked up to a date, its entries on or before that date can't be changed. If the balances don't agree, LogAI won't mark it — look for unmatched lines, missing payments or fees, and try again. Each new check must be later than the last one.

Razorpay payouts and fees

If Razorpay is connected you'll have a Razorpay clearing account, and the Bank header shows Sync Razorpay. Clicking it pulls the last 30 days of Razorpay settlements:

  • Each payout lands in your default bank account (the active bank account set as default for Bank transfer) as a Payout line, already matched — or matched to an imported statement line with the same amount and UTR instead of adding a duplicate. With no bank account, LogAI creates a “Primary bank” account.
  • The fees Razorpay kept are recorded as Gateway fees expenses, so the clearing account balances.
  • Payments included in the payout are linked to it.

You'll see a summary such as “3 payouts · 41 payments · 3 fees added”. Running it again doesn't duplicate anything. If Razorpay isn't set up, LogAI says so and offers Open Razorpay settings — see integrations.

Access

Viewing the Bank tab needs View on the Books permission item. Confirming, excluding and unmatching lines and running matching need Update; importing a statement, recording a transfer, creating a record from a line and syncing Razorpay need Create and Update; marking an account as checked needs Manage. Roles without access see “Your role can view Books but not import statements.” or “…not mark accounts as checked.” Set these in roles and permissions.

Frequently asked questions

Which bank statement formats can I import?

CSV and Excel (.xlsx) files up to 10 MB, or rows pasted from Excel or Google Sheets with the header row. LogAI suggests which column is the date, description, amount (or debit and credit) and reference, and detects the date format; you can correct any of it before importing.

How does LogAI decide a statement line matches a payment?

It looks for records on the same account with the same amount that aren't matched yet. A reference or UTR found in the line's text matches automatically; otherwise a matching name within 2 days scores 90%, a close date 70% (or 50% with several candidates), and a deposit equal to 2–3 same-day receipts 60%. You confirm the suggestions.

A line on my statement isn't in Books. What do I do?

Use Create on that line: Payment received opens Settle up prefilled, Expense records it in Money out, and Transfer records a move between your own accounts. Each one is matched to the line automatically.

Why won't it let me mark the account as checked?

The statement's closing balance must equal the Books balance on that date. Look for unmatched lines, payments or expenses not recorded yet, or bank fees, then compare again.

What happens after an account is checked?

Entries on that account dated on or before the checked date can't be changed, so your reconciled figures stay put. The account chip shows Checked up to and the date.

How do Razorpay fees get into Books?

Click Sync Razorpay on the Bank tab. Each payout is recorded into your default bank account and the fees Razorpay deducted are recorded as Gateway fees expenses.

How do I record cash I deposited into the bank?

Click Transfer, choose Cash as From and your bank as To, enter the amount and date, and click Record transfer.
