Administer HR in LogAI: add employees (single or CSV), give them login access, seed leave balances, configure policies, holidays, shifts, and onboarding, publish announcements, and run performance review cycles.

This guide covers the admin side of the HR module: the employee directory, configuration (policies, holidays, shifts, salary structures, review cycles), announcements, and the org chart. Admin actions need HR permission at Editor level, and most configuration endpoints additionally require org-admin rights — see Team & roles.

Add and manage employees

  1. Add one. HR → Employees → Add employee: employee code, first name, and joining date are required; emails, phone, department, designation, manager, employment type, status, and masked banking/tax details are optional.
  2. Or import in bulk. Import CSV accepts .csv/.xlsx/.xls using the built-in template — required columns are employee_code, first_name, and joining_date (YYYY-MM-DD). Duplicates are skipped and per-row failures listed with reasons.
  3. Give them login access. Row action Setup user account: Link existing user, or Send invite with a role — the link expires in 7 days by default. Until linked, the person can't use self-service (check-in, expenses, payslips). Note this consumes a subscription seat like any workspace invite.
  4. Seed leave balances. Row action Manage leave balances → Seed Balance: policy, year, opening balance, credited days. Employees can't apply for leave without this.

Configuration (HR → Configurations)

Performance review cycles

Create a cycle (name, self-review and manager-review windows), add participants, and define weighted goals. As the cycle advances through its stages (Draft → Open → Self Review → Manager Review → Completed), participants fill their Self Evaluation Form (0–5 rating plus achievements, challenges, goals) and managers complete the Manager Appraisal per direct report — submitted forms become read-only. Employees not added as participants see “Not registered in this cycle”.

Announcements & org structure

  • Announcements — publish to the whole company or one department, with a Pin announcement toggle that keeps it on top of everyone's dashboard card and the Announcements page.
  • Org Structure — departments (hierarchy or table view, with parent departments and heads) and designations; both auto-generate lockable codes.
  • Removing someone from the workspace deactivates their employee profile automatically — the two directories stay in sync.

Frequently asked questions

How do I add many employees at once?

Employees → Import CSV with the built-in template — employee_code, first_name, and joining_date (YYYY-MM-DD) are required. Duplicates by code are skipped; failures are listed per row with reasons.

How does a new employee get login access?

Employees → Setup user account: link an existing workspace user or send an invitation with a role (7-day link by default). Self-service unlocks once linked — and the invite uses a subscription seat.

Why can't my employee apply for leave?

Seed their balance first: Employees → Manage leave balances → Seed Balance for the policy and year. Without it they see “No leave balances found”.

Can I customize leave policies?

Yes — quota (in half-day steps), carry-forward, and accrual per policy, with unique names/codes. Policies created in the app exclude company holidays from leave-day counts.

Who can approve leave and expenses?

The employee's direct manager or an org admin — set managers on the employee record so approvals route correctly.

How do performance reviews work?

HR creates a cycle with review windows and participants; employees submit a self evaluation, managers complete an appraisal per report, and submitted forms lock. Cycle stages advance from Draft through Completed.

What happens to the employee record when someone leaves?

Removing them from the workspace deactivates their employee profile and frees their seat; their HR history is retained. You can also set employment status to On Notice, Exited, or Suspended manually.
